Session 3: Office Efficiency

Where is the best place for my wall calendar?
ANSWER: With the implementation of the tools of this program, you may very well find that you will not be in need of a paper-based calendar. However, if one is needed, the best place is anywhere behind your ‘180’ degree of sight when you are seated at your desk.

Why do I have to move my computer off of my desk especially when I am on it 90% of the day?
ANSWER: This is undoubtedly the most frequently asked question in our training. Placing your computer (PC, laptop) outside of your ‘180’ degree field of vision, especially when you are on this equipment a majority of the day, runs contrary to common sense. Yet, there a few reasons I can give you, such as discovering your physical desktop to be supporting a further entity for focus and concentration; having your new location for your computer creates a secondary ‘180’ which provides still greater focus and concentration when working electronically. Yet, this may not seem all this convincing. The bottom line is once you have made this physical alteration you will be amazed at how well this works for you, physically, mentally and even emotionally via stress reduction.

I have no desk return (table adjacent to desk at a right angle). I can’t move my computer off my desk. What do I do with it?
ANSWER: Keeping the objective in mind, place your computer as far off to either side of your desk as is logistically possible.

I don’t like my back to the door. Why do I have to sit that way?
ANSWER: This is another area that seems to run contrary to common sense. Yet, the reason is in order to achieve an incredible DEcrease in distraction and an incredible INcrease in focus and concentration. For virtually everyone with whom we have made this change, once done, they have greatly appreciated the feeling of privacy as well as focus.

Why can’t my guest chairs be placed directly opposite my desk?
ANSWER: Guest chairs placed opposite the desk create the experience of ‘holier-than-thou’. It also greatly inhibits open and forthright communication from the guest. By placing the desk chairs with no ‘barrier’ between the parties, the guest is far more likely to be relaxed and open.

What if my new office configuration doesn’t work for me?
ANSWER: While you, of course, have the final say in how your office is configured, your attitude will play the greatest role in how this turns out for you. By this I mean the attitude you have in giving this change the chance to show the positive aspects offered to you.

Why do I have to have a plant on my desk?
ANSWER: Studies have shown that by having a living, breathing entity in your midst it supports a far more relaxed experience. Should you find that your past relationship with plants has been less than successful, please know that there are plants that have a virtually indestructible nature.

In the midst of a typically crazy day how do you expect me to work on one project at a time?
ANSWER: Trust in our name of ‘CHAOSFREE’. This program was not only born in the midst of chaos, it thrives on eliminating chaos. The totality of the tools, used in concert with one another, will provide you with the experience of working on one project at a time…even in the midst of being surrounded by other people’s chaos.

If I don’t multi-task what is my alternative?
ANSWER: Because multi-tasking is anatomically impossible-asking your one, singular brain to focus on two or more entities simultaneously and giving each full focus and concentration-you have been setting yourself up for mistakes, errors and omissions. Even if you agree with this statement, this alone will change not a thing. The alternative is working on one project at a time via the implementation of the tools of this training.

Because my office space is a cubicle with very limited space how successful will this Program be for me?
ANSWER: A majority of our nearly 100,000 clients have not had the luxury of a private office, rather a cubicle with the space you have mentioned. The customization of our training process will assure you that you will receive the level of satisfaction afforded to those with more expansive work areas.

How do I re-focus after I am interrupted?
ANSWER: If you maintain your Turtle by inverting and re-prioritizing every morning, the minimal seconds that it takes to examine a new item that lands in your Virtual In-Tray, and place it in the proper terminal, will support a marginal interruption in the task at hand, thereby making re-focusing a non issue as you will have not lost your focus at all.

Why does my desk have to face the wall?
ANSWER: To eliminate distractions, i.e. people passing in the hallway, popping in to say “Hi”, etc. Having your back to the door is similar to having your door closed in that it allows you to maintain your focus thereby enhancing your productivity, creativity and efficiency.

How often should my Out-tray be cleared?
ANSWER: Your Out-tray should be cleared every time you get up from your desk, be it for coffee, bathroom, breaks, etc. By not clearing your Out-tray frequently, you can inadvertently be sabotaging yourself or someone else for information that is needs to be dealt with that has any degree of urgency.

Why is it important to work on only one project at a time on my desk?
ANSWER: For the greatest degree of focus and concentration. This will allow you to do your work in far less time; with fewer mistakes, errors and omissions; the highest level of creativity; and the least degree of stress. NOTE: This is not to be construed as having anything to do with ‘neat’ or ‘tidy’.
